Missed Calls Are Costing You Jobs: How to Catch Every One

Tradespeople and small shops miss calls every day. Simple ways to catch every enquiry, from missed-call text-back to voicemail scripts and AI answering.

Quick answer: When you miss a call, the customer often rings the next business on the list. Set up an automatic text-back for missed calls, record a voicemail that tells people what happens next, give people other ways to reach you on your website, and call back within the hour whenever you can.

If you’re up a ladder, under a sink or serving a customer, you can’t answer the phone. That’s normal. The problem is what happens next.

A customer with a leaking pipe or a broken lock doesn’t wait. If you don’t pick up, they ring the next number on Google. By the time you call back, the job’s gone.

The fix isn’t to answer every call. It’s to make sure no missed call goes unanswered for long.

Step 1: Find out how many calls you miss

Most people guess low. Check your phone’s call log for the last two weeks and count the missed calls from numbers you don’t know. Then ask yourself how many you called back, and how quickly.

Most owners are surprised by the number.

Step 2: Set up missed-call text-back

This is the single most useful change for most small businesses. When you miss a call, the caller automatically gets a text like:

Sorry we missed your call. We’re on a job right now. What can we help with? Reply here and we’ll get back to you shortly. Smith Electrical

The customer feels looked after, and many will reply with details of the job. Now you have the enquiry in writing.

Many business phone apps, VoIP phone systems and call-handling services offer this. Check what yours can do before paying for anything new.

Step 3: Record a better voicemail

Most business voicemails say “leave a message”. Many people won’t. Tell them what happens next instead:

Hi, you’ve reached Smith Electrical. We’re probably on a job. Leave your name, number and what you need, and we’ll call you back today. If it’s urgent, text this number or send us a WhatsApp.

It’s clear, it sets expectations and it gives them a faster option.

Step 4: Give people other ways to reach you

Not everyone wants to call. Your website and Google profile should offer:

  • A click-to-call button that works on phones
  • A WhatsApp button (see our guide to WhatsApp Business for small businesses)
  • A short quote form with a photo upload, so people can show you the problem

Then the customer picks what suits them, and you get enquiries you can answer between jobs.

Step 5: Consider an answering service

If you miss a lot of calls, there are two main options:

Option How it works Things to check
Human answering service A receptionist answers in your business name and takes a message Cost per call or per month, how fast they pass on messages
AI phone answering An AI voice answers, asks questions and sends you a summary How natural it sounds, what it does with tricky calls, data privacy

Whatever you choose, ring it yourself first and hear what your customers will hear.

Step 6: Call back fast

All of this only works if you reply quickly. A good habit: check missed calls and messages every time you finish a task or get back in the van. Even a quick text, “Got your message, I’ll call you at 4pm”, keeps the customer from looking elsewhere.

The bigger picture

Missed calls are one part of what we call “Get paid”: turning enquiries into booked jobs. A great website and Google listing bring in calls, but if the calls aren’t answered, the effort is wasted.

Common questions

What is missed-call text-back?

It’s a feature, offered by many business phone apps and call-handling services, that automatically sends a text to anyone whose call you miss. The text says sorry you missed them and asks what they need, so the conversation keeps going.

Should I use an AI phone answering service?

It can help if you miss a lot of calls, but test it first. Ring it yourself, check it sounds natural, and make sure it passes on the caller’s details to you quickly. Some customers prefer a person, so always offer a callback.

How quickly should I return a missed call?

As fast as you can, ideally within the hour. The longer you wait, the more likely the customer has already booked someone else.
